Tips for improving Salesforce user adoption

Tips for improving Salesforce user adoption

In people’s journey from Salesforce user to advocate Admin, to the employee, there’s one word that never fades i.e., Adoption. We know about adoption at Salesforce, but what is unanswered is what we mean by this word. User engagement while adopting Salesforce and during Salesforce training is essential.

“Just bringing a child doesn’t mean anything. It’s about adapting life to what’s best for both the child and the family. As a whole, it never stops in life.”

Similarly, Salesforce is very similar to a child. Salesforce training is useful for new users. It’s not only about turning something over and then turning it onto a cool unique toy. To get the most out of it, users need to explore the best benefits to the company. Users need to adapt to their operations, their day-to-day processes, and their decisions. For that users have to “adopt” Salesforce to help define their goals. User engagement is necessary for Salesforce user adoption.

Salesforce user adoption

It measures the extent to which how users have incorporated Salesforce into their day-to-day tasks. This adoption indicates how efficiently Salesforce Admin, developers, and the team have to customize Salesforce to get fit into the organization’s desirable needs.

However, the user experience and UI are significantly fundamental in nature, however, Salesforce user adoption is here related to three specific areas which are as follows:

  1. Onboarding: How new users take to Salesforce (like “baby start crawling”, or “ducks to water”)
  2. Tracking: Here to gather quantitative and qualitative metrics for how users interact with Salesforce and how they adopt it.
  3. Optimization: To make interface and automation changes that can improve user productivity.

Ways to Improve Salesforce user adoption

Salesforce user adoption seems like a big challenge for most organizations. Moreover, Salesforce is an impressive CRM system but, if the users don’t participate in the creation, growth, and up-keeping of the platform, then the whole thing goes in vain.

Here are some ways to improve Salesforce user adoption:

Consider Collaboration

Knowing how, and where, our users like to collaborate is an effective way to connect and adopt it. The communication hub could be Slack or MS Teams.

What we can conclude is by connecting Slack/MS Teams to Salesforce, is going to improve no. of users interacting with Salesforce data. They have no need to switch tools. Salesforce user adoption can be improved by specifying teams on records to set high expectations.

Communicate frequently and clearly.

Communication is a critical piece of the implementation and adoption strategy. Teams must make a communication plan because variations in the audience signify user engagement. Most effective-efficient communications include- Salesforce e-Bulletins, Salesforce meet-ups, and also do Salesforce Open House meetings.

Dashboard Visibility for Salesforce User Adoption

Reports and dashboards specify data to life for users, and also reveal the impact their hard work has had! Sadly, these types of analytics in front of users can be a hurdle for Admins to jump.

Not only the reports and dashboards be organized into a mannered structure but embed the most key report charts on Lightning pages – including the home page also!

Empower enthusiasts and user engagement.

The Salesforce team identifies confined users who are enthusiastic and focused on the Salesforce initiative only. Some can become the “Champions” group and can serve as communication conduct to and from the front. It depends upon relaying messages and sharing success stories. And it also reports back questions or issues.

Gamification for Salesforce Users Adoption and in Salesforce training

If we turn any activity into a game that appeals to everyone like a sense of curiosity and also competition. People find it challenging by measuring themselves against a goal. It can be applied to encourage everyone to work towards a common desired goal. A dashboard is a great tool.

Listen actively for more user engagement during Salesforce training.

Stakeholders are numerous and diverse, including executives and various departments. The Salesforce Team can spend time asking questions to understand the pain points. Hence, it can also identify opportunities to create efficiencies. The early conversations help us to build trusting relationships, which are important in encouraging higher adoption down the road.

Name Salesforce Administrators early or give users Salesforce training.

A new CRM system requires staff members to learn new software. It is very important to identify Salesforce admins early in the process. They must know technical and people skills. Early and continuous identification of admins allows them to receive advanced training. It also provides visible frontline support to users.

Remain positive

Salesforce-The existence of a legacy CRM system is there. However, the team needs to be sensitive to user burnout. If the team maintains a “positive approach;” and acknowledged users’ pain points it would be a key point.

Review, refine, repeat

There can be “active engagement” of Salesforce and a “pretty good adoption rate.” We can increase Salesforce adoption by identifying new business processes that would benefit from being added to Salesforce.

Additionally, by reviewing, refining, and repeating the approach, we can improve Salesforce user adoption.

Set a baseline measurement for Salesforce User Adoption

We can quantify the existing levels of effort required for the various functions slated for CRM. We can establish a baseline w.r.t the success of the new system and further encourages user adoption in Salesforce.

Salesforce Training-Choose Power Users, “Train the Trainer”

It doesn’t only give us a chance to know ways to train users but also tells us how to use a CRM. Salesforce gives users many chances to personalize their own workspaces also. We can ask users to make Salesforce their own. i.e By customizing the confined navigation bar, including default list views, and creating shortcuts to Salesforce pages with the favorites.

Stakeholder Involvement

If we Include the right people in the conversations initially, from all levels within the org. it contributes as a whole. Often it’s the users “on the ground” whom we need to put in the most effort to win over.

Target One Process to Perfect

If you are feeling overwhelmed, then you can make it more manageable by improving user adoption step by step. What we can do is-Choose one process, such as the Lead process. Start bringing out the champions in the organization who sees the value in the improvements.

UX Research and Documentation i.e., for Salesforce training

Also, we can conduct interviews with various users to gain qualitative data.

To gather information, we can observe users performing a series of tasks. While demonstrating a prototype of the solution, we can ask users “What would you expect to see next”. This is great to validate the user experience org. is proposing. In the end, don’t forget user stories that periphery the work you need to complete and meet the overall business requirement.

User Engagement

It is the process of assisting, empowering, educating, and onboarding users through in-app guidance. Every one of us once encountered in-app guidance in Salesforce without even knowing it before.

Ways to increase user engagement:

  • Add Images to a Prompt – More engagement can be done by linking it to a .jpg, .jpeg, .png, or .gif file. We can also use animated gifs in a prompt. Link to images instead of uploading saves time and also storage space.
  • Choose Where Your Prompts Appear-Previously, when we created in-app guidance, there was only an option for a specified page and app. But now we can choose the page and app that we want the prompt or walkthrough to show up on.
  • By giving users the opportunity to send feedback and receive information about the latest trends and IT solutions.
  • Make the content relevant so that everyone can relate to it.
  • What we can do to increase user engagement is -To Offer a secondary resource.
  • Message, audience, purpose- Write what we want to reflect, specify the audience who want to learn, understand and focus on the purpose you are aiming at.
